This Privacy Policy explains how Rubsang IT Solutions collects, uses, stores, and protects your data — including data obtained through Meta's Platform — when you use our AI-powered business automation services.

Overview

Rubsang IT Solutions ("we", "our", or "us") operates an AI-powered receptionist and business automation platform. This Privacy Policy applies to all users of our services, including businesses that integrate our platform with their Meta (Facebook/Instagram/WhatsApp) accounts, and their end-customers who interact with our AI assistant through those channels.

By using our services or authorising our application through Meta's Login or Business Integrations, you agree to the practices described in this policy. If you do not agree, please discontinue use and revoke access via your Meta account settings.

Plain-language summary: We use your business's Meta messages only to power automated AI replies on your behalf. We do not sell your data, advertise to your customers, or share information with third parties beyond what is required to run the service.

Data We Collect

We collect only the data necessary to deliver our services. This includes data you provide directly, data from integrated platforms, and limited technical data from your use of our service.

Account Information
Business name, email address, phone number, and billing details provided during sign-up.
Message Content
Incoming and outgoing messages from your connected Meta Page, Instagram account, or WhatsApp Business account, used solely to generate AI responses on your behalf.
Page / Profile Data
Meta Page ID, Page name, and public profile information required to authenticate and route messages correctly.
Usage & Log Data
Timestamps, request logs, error reports, and service interaction data used for performance monitoring and debugging.
Device & Browser Data
IP address, browser type, and operating system collected automatically when you use our web dashboard.

Meta Platform Data

Our application connects to Meta's Platform (Facebook, Instagram, WhatsApp Business) through officially authorised APIs. This section specifically describes how we handle data obtained through Meta's Platform in compliance with Meta's Platform Terms and Developer Policies.

📋 Meta Platform Data Usage

We access Meta Platform Data — specifically incoming messages sent to your business Page or WhatsApp Business account — for the sole purpose of reading those messages and sending automated AI-generated replies on your behalf. This data is used only to provide the AI receptionist service you have explicitly enabled. We do not use Meta Platform Data to build user profiles, serve advertisements, or for any purpose not directly related to delivering automated message responses.

Permissions Requested
pages_messaging, instagram_manage_messages, whatsapp_business_messaging — used only to receive and respond to messages.
Data Minimisation
We request only the minimum permissions necessary to operate the service. We do not request access to friend lists, ad accounts, or personal profile data of end-users.
No Resale of Meta Data
Meta Platform Data is never sold, licensed, or transferred to any third party. It is used exclusively to fulfil the service for the business client who authorised access.
Revocation
You may revoke our application's access at any time through your Meta Business Settings or Facebook App Settings. Upon revocation, we will cease accessing your data and delete stored message logs within 30 days.

Data Sharing & Disclosure

We do not sell, rent, or trade your personal data or Meta Platform Data to any third party. Data may be shared only in the following limited circumstances:

AI Processing Infrastructure
Message content may be processed through AI model APIs (e.g. large language model providers) solely to generate replies. These providers are contractually bound to process data only as instructed and not to use it for training or any other purpose.
Cloud & Hosting Providers
We use secure, reputable cloud infrastructure providers to host our application. Data stored on their servers is encrypted at rest and in transit.
Legal Requirements
We may disclose data if required to do so by law or in response to valid legal processes such as a court order, subject to applicable legal protections.
Business Transfers
In the event of a merger, acquisition, or sale of assets, user data may be transferred to the acquiring entity, subject to the same privacy commitments set out in this policy.

Data Retention & Deletion

We retain data only as long as necessary to provide the service or as required by law. Message logs obtained through Meta's Platform are retained for a maximum of 90 days for service quality and debugging purposes, after which they are permanently deleted.

Account data is retained for the duration of your active subscription and for up to 60 days following account closure to allow for dispute resolution. You may request immediate deletion of your data at any time by contacting us at contact@rubsang.com.

Upon revocation of Meta app permissions or account deletion, all associated Meta Platform Data will be permanently purged from our systems within 30 days. You will receive a confirmation email once deletion is complete.

Security Measures

We implement industry-standard security measures to protect your data against unauthorised access, alteration, disclosure, or destruction. These include:

TLS 1.3 Encryption
All data in transit is encrypted using TLS 1.3.
AES-256 at Rest
Stored data is encrypted using AES-256 encryption.
Access Controls
Role-based access controls limit internal data access.
Security Audits
Regular review of our systems and access logs.

While we take all reasonable precautions, no method of transmission over the internet is 100% secure. We encourage you to use a strong, unique password for your Rubsang account and to notify us immediately of any suspected unauthorised access.

Request a copy of all personal data we hold about you or your business.
Right to Correction
Request correction of any inaccurate or incomplete personal data.

Request that we delete your personal data, subject to any legal obligations to retain it.

Request your data in a structured, machine-readable format for transfer to another service.
Right to Withdraw Consent
Withdraw consent for data processing at any time. This includes revoking Meta app access via your Facebook/Meta settings.

Cookies & Tracking

Our website uses minimal, functional cookies necessary to maintain your login session and remember your preferences. We do not use advertising cookies, tracking pixels, or cross-site tracking technologies. We do not share cookie data with Meta or any third-party advertising platform.

You may disable cookies in your browser settings. Disabling cookies may affect your ability to log in to the Rubsang dashboard, but will not affect the AI receptionist service running on your Meta channels.

Children's Privacy

Our services are intended for business use only and are not directed at individuals under the age of 18. We do not knowingly collect personal data from minors. If you believe a minor has provided us with personal information, please contact us immediately and we will delete it.

Section 12

Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email (to the address associated with your account) and update the "Last Updated" date at the top of this page. Continued use of our service after the effective date of any change constitutes your acceptance of the revised policy.

We encourage you to review this policy periodically. Previous versions of this policy are available on request.
